Senior Associate - Foundation Program Officer
Position Overview
The Foundation Program Officer plays a pivotal role in the development, implementation, and oversight of philanthropic grants, projects, and initiatives, working closely with the Vice President of the New York Life Foundation. This position is responsible for identifying grant opportunities, crafting grant recommendations, coordinating activities, managing relationships with grantee partners, and ensuring compliance with grant requirements. The role collaborates with organizational leadership to ensure successful execution and monitoring of funded projects and assists in managing the grants management system in partnership with the Operations team.
Key Responsibilities
Grants Management
- Oversee the grant proposal and recommendation process in collaboration with the VP of the New York Life Foundation.
- Manage daily operations related to grant progress and administration.
- Conduct research on potential organizations, initiatives, and partnerships.
- Screen funding inquiries, review applications, and provide feedback.
- Analyze grant requests, budgets, and conduct site visits as needed for due diligence.
- Communicate with grant applicants to ensure complete, accurate submissions and provide updates.
- Prepare funding recommendations, grant agreements, and related communications.
- Create reports, dashboards, and data analyses to support programmatic, financial, and operational decisions.
Grant Administration
- Review and summarize grantee progress and final reports.
- Monitor and manage active grants, track compliance, and provide technical assistance to grantees.
- Deliver regular updates on grant progress, proposal reviews, and address challenges with grants.
- Partner with the Grants team to refine processes and policies.
- Provide data reporting and analysis for internal and external stakeholders.
- Build and maintain relationships with grantees, offering guidance and support.
- Utilize the grants management system for tracking, reporting, and resolving issues.
Request for Proposals (RFP) Management
- Lead the implementation of RFP programs aligned with the Foundation's focus areas, including Grief Reach and Aim High initiatives.
- Manage relationships with RFP partners and conduct due diligence on respondents.
- Draft RFP administrator grant recommendations.
- Collaborate with the engagement team to connect grantees with local offices.
Strategic Engagement Support
- Develop collaborative initiatives to maximize impact and align with the Foundation's focus areas.
- Support grant and philanthropic responsibilities, including updating templates, guidelines, and annual fact sheets.
- Coordinate with Corporate Communications to highlight grantee successes and initiatives.
- Maintain the relationship with the grant management system vendor.
- Participate in broader philanthropic and engagement strategies
- Represent the Foundation at meetings and conferences as needed. Approximately 10% travel.
Qualifications and Skills
- Bachelor's degree in nonprofit management, public administration, business administration, or a related field. Master's degree preferred. At least 5 years of experience in grant management and/or philanthropy
- Excellent written and verbal communication skills
- Strong analytical, problem-solving, and organizational skills
- Proficient in Microsoft Office Suite and grant-management software
- Proficient in Excel for data manipulation, calculation, and visualization
- Ability to manage multiple priorities and work with deadlines while remaining flexible to respond to and manage the unexpected
- Ability to work closely and collaboratively with others and independently as work requires
- Proven ability to listen, discern challenges, and identify solutions
