Skills and Competencies
- 7+ years related experience working in a corporate environment
- Demonstrates proven experience in coordinating communications and managing relationships with customers, vendors, visitors, and dignitaries ensuring seamless and professional interactions on behalf of the organization.
- Preferably possessing professional certifications relevant to the role (e.g. PACE, CAP, CAPM, PMP, etc) underscoring the capability to work efficiently with senior executives.
- Advanced working knowledge of Microsoft Office Suite including Outlook, Word, Excel, PowerPoint and SharePoint and knowledge of collaborative tools
- Excellent verbal and written communication skills - ability to convey thoughts clearly and succinctly and to communicate pertinent complex information in a clear and organized manner; ability to compose general correspondence, memos and other documents that require little or no editing by manager
- Client oriented with strong attention to detail and organization skills: time management and ability to multi-task, shift priorities and work under pressure
- Ability to think outside the box and to anticipate issues/needs, uses judgement and work proactively to address them
- Collaborative, strong team player including the ability to interact comfortably and effectively with Senior Management
- Exceptional ability to build and maintain relationships across all levels of the organization. Good presentation skills
- High level of trust and demonstrated ability to work with highly sensitive, confidential data
- Willingness to work "non-standard" hours given the global nature of Moody's business
Responsibilities
Administrative Excellence
- Provides executive level administrative support with a strong focus on calendar management, travel coordination and absorption of administrative tasks
- Proactively anticipates needs and independently manages detailed tasks to streamline the manager's workload
- Handles sensitive information and resolve conflicts with a high level of confidentiality and discretion.
- Quickly acquires and applies comprehensive understanding of company operations, policies, and procedures relevant to the role, boosting efficiency and effectiveness.
- Other core duties and administrative support: engages with senior leadership team; greets and screens visitors; screens telephone calls; coordinates and schedules meetings; handles all meeting logistics (including global Town Halls, offsites, outings, etc); organizes hospitality or other events; tracks and coordinates expenses; documents meetings; general administrative follow-up on behalf of the executive
- Other duties or administrative projects as assigned
Technological Proficiency and Innovation
- Maintains and leverages advanced knowledge of Microsoft Office Suite and other collaborative tools
- Quickly adapts to new software and technologies to optimize operational efficiency and effectiveness.
- Employs new and emerging technologies to support the executive's and the team's work.
Organizational and Problem-Solving Skills
- Demonstrates strong attention to detail and organizational skills with the ability to multitask and work under pressure.
- Collects and prepares information/presentation materials for high-level meetings or for use in discussions/meetings with executive staff and external parties.
- Uses problem-solving techniques within defined policies to obtain solutions
- Acts as a self-starter, capable of working independently or as a global team.
About the team
The Executive Assistant will report directly to the Chief of Staff to the CEO. This role has administrative responsibility for the Office of a C-suite executive, including facilitating support for other members of the office of the CEO. This role demands exceptional multitasking abilities, a firm grasp of the MS Office suite, and a proactive approach to leveraging new and emerging technologies to enhance efficiency and effectiveness. The ideal candidate will thrive in a fast-paced environment, demonstrating flexibility, and adaptability to meet the evolving needs of the organization.
For US-based roles only: the anticipated hiring base salary range for this position is [[$92,700 - [[$134,400, depending on factors such as experience, education, level, skills, and location. This range is based on a full-time position. In addition to base salary, this role is eligible for incentive compensation. Moody's also offers a competitive benefits package, including not but limited to medical, dental, vision, parental leave, paid time off, a 401(k) plan with employee and company contribution opportunities, life, disability, and accident insurance, a discounted employee stock purchase plan, and tuition reimbursement.
